# Reporting issues and suggestions

> Send feedback from hFlow while you work, and how school owners review submitted reports.

This guide is for everyone who uses [app.hflow.pro](https://app.hflow.pro) while signed in. You can report something that broke, looks wrong, or blocks your work, or suggest an improvement to how hFlow works. You do not need admin access to send a report.

## How to open Help or the report panel

1. Sign in to hFlow and go to any screen in the app (for example **Students** or **Assessments**).
2. At the bottom-right you see two icons (they may look faint until you hover):
   * **`?` Help** (on the left), opens the help article for the page you are on in a new browser tab. The tooltip shows which guide will open (for example **Open Students help**).
   * **Ladybug** (on the right), starts a report. Hover shows **Report an issue · suggest an idea**.

When you click the ladybug, a short panel titled **Before you report, check Help** appears first. It links to the same page-related guide as the **`?`** button. Tap **Open … in Help** to read it in a new tab, or **Continue to report an issue or suggestion** to open the full report form.

The full report panel is titled **Tell us what went wrong**. You can drag the header (**Drag to move**) if it covers something you need to see.

Help and report controls are not shown on the sign-in or password pages. You must be signed in and using the main app.

## How to report a problem

1. In **What happened?**, describe the problem in your own words. This field is required. Do not type student names. Use a student ID from the list when you need to identify someone (see below).
2. Optionally choose **How is this affecting you?**: one of four chips:
   * **Blocking**: you cannot complete a task
   * **Wrong info**: data looks incorrect or missing
   * **Something's off**: something seems wrong but you can still work
   * **Suggest an improvement**: an idea, not broken behavior (see the next section)
3. hFlow captures a screenshot of the page automatically. You can tap **Remove** on the preview if you do not want to include it. If capture fails, you can tap **Try again** or still send without a screenshot.
4. To attach a specific row or cell, tap **Point at the spot on this page**, then click the assessment, row, or cell on the page. A banner at the top reminds you what to click; use **Cancel** to stop pointing.
5. To scroll the page or change filters while keeping your draft, tap **Look on the page**. The panel collapses to a pill **Report in progress, Continue** at the bottom-right. When you are ready, tap **Continue** to reopen the panel.
6. Optionally enter an **8-digit Student ID** from the **Students** list (not the student's name).
7. Optionally check **You may contact me about this report** and confirm your email if you want the hFlow team to reach you about this report only.
8. Tap **Send**.

After you send, you briefly see a confirmation with a reference such as **#HF-1042**, and you receive **one** email receipt at your account address. hFlow does not send email when the status changes later.

If you close the panel with text or choices already entered, hFlow asks **Discard report?** with **Keep editing** or **Discard** so you do not lose work by accident.

## How to suggest an improvement

Use the same steps as [How to report a problem](#how-to-report-a-problem), but choose the **Suggest an improvement** chip under **How is this affecting you?**. Describe what you would like hFlow to do differently or what would help your school.

Suggestions are welcome even when nothing is broken. For example clearer labels, a shortcut, or a report you wish existed.

## Tips for a helpful report

* Say what you were trying to do, what you clicked, and what you saw instead of what you expected.
* Stay on the page where the problem happened before you open the report. The screenshot and page path help the team reproduce it.
* Use **Point at the spot on this page** when one row, student, or assessment cell is the focus.
* Use **Look on the page** to find an **8-digit Student ID** on **Students**, then **Continue** and paste the ID into **Student ID (optional)**.
* Do not include student names in **What happened?**; use the ID field or point-at instead.

## Admin vs teacher: reviewing reports

School **owners** can review what staff submitted:

1. Open **Configuration** in the header.
2. Choose **Reported issues**.
3. Click a row to open the detail panel: description, screenshot, page, reporter, type, impact, and status.
4. To remove a report you sent by mistake, open it and tap **Withdraw report** (you can add an optional note). Withdrawn reports show status **Withdrawn**.

Teachers and other staff can send reports but do not see **Reported issues** unless they are also the organization owner.

Statuses on the owner list (such as **Submitted**, **In progress**, **Fixed**, or **Closed**) reflect how hFlow tracks the report internally. You will not receive automatic email when a status changes.
